Here’s a rule of thumb I’ve found helpful: If it happens more than once, it’s worth documenting eventually. If it happens more than once a month, it’s an SOP priority.

What an SOP Actually Looks Like

Let’s bust a myth real quick: SOPs don’t have to be formal, corporate documents.

They can be:

  • A Google Doc with bullet points

  • A Loom video walking through your process

  • A checklist in ClickUp or Trello

  • A Notion template

The point isn’t perfection—it’s clarity. If someone else could follow it and complete the task, you’ve done it right.

The Payoff: More Clarity, Less Chaos

Once you’ve got a few SOPs written, the change is almost immediate. You’ll start delegating without stress (or 47 Slack messages). Training new contractors will take half the time. You’ll catch gaps in your processes. You’ll reclaim hours a week just because you won’t have decision fatigue.

But the best part, IMO? You’ll finally be able to step away—whether for a weeklong vacation or just because you’re PMSing and you need a day off—without everything falling apart.
